Class Officer Minutes
November, 2000
In attendance: Julia Cronin, Laura Althoff, Hilary Bland, Kristin Butterfield, Alicechandra Fritz, Kristen Kelly, Maria Smith, Shelly Warburton and Jen Warner.
Review of last meeting minutes J. Cronin
Meeting minutes from the last class meeting held at our 5 year reunion are not anywhere to be found.
Financial Update J. Warner
Currently, there is $1,572 in our treasury. This is low, so please pay your dues.
Class dues are $25 and should be sent to Jen Warner (82 Elk Ave, New Rochelle, NY 10804). Officers names (as paid) will go into next Quarterly/class letter.
Estimated future expenses include: mailings at $250/300 each and Reunion at $5,000 +/-.
Update on Class Giving A. Fritz
75 volunteers have agreed to be class agents.
Goal $30,000 with 37% participation
Last Year: $26,000/33%
We surpassed our goal last year due to Alicechandra persistently making 200+ follow up calls last year to past donors who had not yet given. Hopefully, the 75 class agents will be able to take on some of that follow up and distribute the work more evenly.
Jen will head up Cornerstone ($1k and up) givers calling.
Reunion Year Giving A. Fritz
A participation challenge will be structured with an incentive to increase new donors.
In addition, we would like to set up a stock/mutual/money market fund for our 25th Reunion Gift.
Class Web Page L. Althoff
A call for a web designer will be put in the next Quarterly. All responses should be forwarded to Laura. Has Laura been specifically mentioned in the Quarterly or are responses directed to Shelley/Kristin?
Class Letter J. Cronin
Julia will distributed a class letter to all officers for editing and additions. It will be sent to the entire class by the end of November and will include campus-wide updates (e.g. Pratt and Science building renovations) as well as reunion information. Gearing up for Reunion will be the main focus of the letter. Letter will also contain a plea for class dues. The letter will be sent out both electronically and by snail mail. Our goal is to identify as many e-classmates as possible to reduce mailing costs for future class mailings.
Reunion Planning All
Nominating Committee:. Currently, the Nominating Committee includes Julie Temlak, Lori Hendricks and Erin Ennis. Julia will be nominating Anita (Julia cant remember her last name) and appointing Julie Temlak as the chairperson for this committee. An additional person needs to be appointed to the committee. Please forward suggestions to Julia.
Volunteers: In an effort to include and engage as many people as possible, consider recruiting classmates from social circles other than your own for reunion planning. Forward all suggestions to Hilary and Maria. There are many Reunion Jobs to fill. A list of positions will be included in the next Quarterly. (Is this true, please check with Kristen/Shelley) Also consider networking with your local MHC club to identify possible volunteers. With Vespers in New York, members of the NYC club hope to make some connections.
Communications: Hilary indicated that the alumnae office has electronic mailing lists for each class but they are poorly maintained. Laura will begin maintaining an e-mail list for us to utilize for reunion news.
NEXT MEETING: January, 2001, date TBA. From then until reunion, well meet (via phone) every 3 months.
Post Meeting Notes: Two main issues surrounding reunion planning are money and class participation. On the first front, we have identified several potential ways to reduce reunion costs. They include having items for sale at the reunion (beach towels emblazoned with Mount Holyoke College) and The Blue Laws which have been reproduced by Andy Pax. Jen and Hilary are looking further into the costs of the beach towel and Julia will be in contact with Andy to see if she would be willing to split profits with our class if we would offer them for sale during reunion.
Ways to identify volunteers and expand beyond our current social circles were identified. The first one is to have class officers cold call individuals to ask for their input on reunion, i.e., what kind of programming would they like to see? Class officers will be assigned dorms and they will be responsible for calling 3-5 of our class mates who lived in that dorm our Senior Year. Hopefully this will not only increase interest but also serve as a means to identify volunteers.
Another method of attracting interest is to have a senior survival night-type panel discussion on Friday night of reunion. The speakers on this panel will be from our class and the 25 year reunion class. We will also ask the 2 year reunion class to come to listen. Jen has taken responsibility for setting up this panel. The hope is that if you ask people to participate in reunion, they will not only come but make sure their friends come too!
I would like to suggest that in the time periods between our conference calls we establish a kind of reunion planning newsletter to be issued every 6-8 weeks (more if necessary). We all have good ideas and have been working on several facets of reunion. If we send periodic updates and copy Laura in e-mails relevant to reunion, perhaps she might be willing to capture these in a newsletter for the class boardŠWhen appropriate, we can modify the content and send out to the entire class.
