Class Officer Minutes
January 20, 2002

In attendance: Hilary Bland, Julia Cronin, Shelly Warburton, and Maria Smith,

Reunion, Reunion, Reunion — Hilary Bland and Maria Smith

Hilary brought us up to date on the deadlines that are ahead of us for reunion planning. Admittedly, I took pretty bad notes so I am sure I am missing a lot of details. We have pretty much no choice for the Saturday night dinner. It will be an Italian theme. There has been a little difficulty getting the paperwork completed though. We will not be utilizing the MHC food services for any other functions. We will cater our own social hour and other events.

Jen: 5 gallons of white wine are percolating in my basement!

Hilary and Maria are in the process of finalizing the class charge form. It looks as though there will be a total cost of ~$200/person for the whole weekend. The breakdown is as follows: $30 for social hour and class dinner, $5-10 for parade accessory (the accessory itself has not been selected, any suggestions?), Booklet fee of $5-7, Registration fee of $75, and lodging $60 ($30/night).

Response to the autobiography page has been less than overwhelming. Julia is going to contact our webmistress and see if we can get this out on the reunion page as a .pdf file. We will refer to this page on the website in the March mailing.

Nominating Committee — Julia Cronin

Ok, so I have one job to do for reunion and I didn’t do it very well. I was supposed to nominate two people, but I only nominated one, Shelley Lo. My second choice was Anita Johnson. She was part of the group that expressed concern over the slate of officers selected at the 1997 class meeting and I really wanted her to be a part of the nominating committee. Unfortunately, she has disappeared and despite much trying, I have not been able to track her down.

I contacted Julie earlier this week to get an update. I have asked her to contact each of you to determine your interest in continuing in your current role.

Learning from past experience, we want to make sure that the slate of officers needs to be made known well in advance of the class meeting. As such, we will attempt to have the slate ready for publication in the March mailing. If the slate is not ready by then, we will just include a statement in the March mailing referring everyone to the class website where we will post the slate.

At what point does the nomination process close and the slate become fixed?

Fundraising — Julia Cronin

Jen Warner was unable to join us so it is unclear where we stand with the beach towels. Julia has been in touch with Andy Pax Mann who will be shipping 100 copies of her Mount Holyoke Blue Laws to Jen. It made sense to have all of the fundraising items under one roof. So Jen, you should have a package coming through the mail sometime soon! Andy has agreed to ship us the Blue Laws without having to pay for them first. We will sell them for $20 each and split the proceeds with Andy.

This is Jen, post-meeting: It’s probably time for beach towels. Unlike the Blue Laws, they will require considerable investment. I will send an e-mail to all officers with details, and ask for a vote. We should have enough money in the coffers to cover it, but there will be other expenses coming along soon. If necessary, I can lend the class some money until we start to sell the towels.

Development — Alicechandra Fritz

Although Alicechandra was unable to join us on the phone, she was kind enough to send me a summary.

  1. To date, we’ve raised approximately $26,000 with 29% of the class participating. We need to be actively working towards increasing participation to achieve 50% and to even come close to achieving my “back-up” goal of $60,000.
  2. Reunion Gift activities include:
    • Biggest opportunity for improving our $ numbers are from the leadership pool. Need Julia, Jen, Jen Hurtt Mullins, Shelley and Alicechandra to really step up this effort over the next couple of months!
    • Class agent website is up, but not much feedback
    • Julia Flannery in the Development and I calling all agents (we’ve had some attrition -- probably lost about 5 more agents, bringing us closer to 65 in total)
    • We had planned a New Year card from the Class Officers to the class, which was cancelled by the Development Office due to increased cost pressures on their Department
    • Parents’ Appeal will go out in February (written by Megan Kelly’s parents)
    • Spring appeal in March goes out in the mail from the College
    • Mini-reunions in Seattle for Washington / Oregon / British Columbia and in San Francisco in the spring (March / April)
    • April “Mastercard” appeal tying giving in to reunion
    • At reunion, I will make calls to people not attending reunion; will make last-ditch efforts on Friday night with our agents helping do check-in / with fliers under people’s door / Friday night activity (HOPEFULLY! see below) / Saturday morning plea
  3. I need help / information from some of the other officers:
    • Jen / KK / Hilary -- Are they planning an NYC event/ mini-reunion? When, as I may try to come? Need for incorporating devleopment activities.
    • Jen re: how to incorporate fundraising into the Friday night activity -- I’ve reached out to her in e-mail a few times with no response and we really need to “lock in” Nancy Drake who I think can help with this effort
    • Maria / Hilary -- Schedule for additional reunion communications so that I can include messages / information for the class

Final Notes — Julia Cronin

We need to get our class history in order. (you know, the stuff I have to read at the alumnae association meeting right after the laurel parade) This is my responsibility but I would like to make it a group effort. Your input is welcome. I will be contacting the AA office to get a copy of our past histories. I will summarize and distribute for your feedback.

Laura, could you please update us on the status of the e-mail list for our class? It would be ideal if we can communicate with the class as a whole without having to spend a fortune on mailings.

Jen, would you please provide a summary of where we stand financially. Where are we with the towel fundraising effort? What costs have been incurred as a result of our previous class mailings?

Balance in class checking account: $815
Recent mailing (I think this is for the postcard, no bill yet for the letter): $1079.75
Dues: recently received $300.00 from 11 classmates (keep asking)

Hilary, we would be most appreciative if you could put together a summary of the AA deadlines and where we are on each action.

Finally, I hope that Hilary’s interview on Monday went successfully. More importantly, I hope that Maria’s baby came out ok on Tuesday.
